Our team values collaboration, integrity, and excellence, and we are looking for a dedicated Executive Assistant to support our Director of Administration, with secondary support to our Operations Manager and HR Manager.
Position Overview:
The Executive Assistant will play a crucial role in ensuring the smooth operation of our executive team. This position requires a highly organized and detail-oriented professional with a minimum of 5 years of experience in a similar role within the legal or finance sphere. The ideal candidate will possess advanced Excel skills and will be adept at creating professional presentations for senior leadership.
Key Responsibilities:
- Provide high-level administrative support to the Director of Administration, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Assist the Operations Manager and HR Manager with various tasks and projects as needed.
- Prepare and organize documents, reports, and presentations, utilizing advanced Excel skills including pivot tables, VLOOKUPs, and data visualization techniques (charts/graphs).
- Collaborate with senior leadership to craft impactful presentations that convey complex information clearly and effectively.
- Maintain confidentiality and exercise discretion in all interactions, particularly regarding sensitive information.
- Coordinate and facilitate communication between departments, ensuring that all stakeholders are informed and aligned.
- Manage special projects and initiatives as assigned, demonstrating strong project management skills.
- Perform additional administrative tasks as required to support the executive team.
Qualifications:
- Bachelor’s degree preferred; relevant experience may substitute for education.
- Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role, preferably within the legal or finance sectors.
- Exceptional proficiency in Microsoft Excel, including advanced functions such as pivot tables, VLOOKUPs, and data visualization (charts/graphs).
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.
- Excellent written and verbal communication skills.
- High level of professionalism and ability to work independently with minimal supervision.
- Familiarity with presentation software (e.g., PowerPoint) is a plus.
